Effective October 8, 2026. This policy covers the Ten-4 app and the website ten4.works, operated by TenFour Works, Corp.
Who we are
Ten-4 Works is operated by TenFour Works, Corp., a Delaware corporation (“Ten-4”, “we”, “us”). Ten-4 accounts and workspaces run on the Embarcadero Labs platform at app.embarcaderolabs.com, operated by our affiliated company Embarcadero Labs. Questions and requests go to privacy@ten4.works.
What Ten-4 does with your data
A technician records a job on an iPhone or through Ray-Ban Meta AR glasses: audio, photos, sometimes video and typed notes. Ten-4 turns that recording into a draft of the company’s own report form. A person at the company checks the draft and signs it. The finished report goes out as a PDF or email, or to the company’s field-service software where an integration exists.
Information we collect
- Account information. Name, email address, company name, password (stored as a hash), role in the workspace, and the devices you sign in from.
- Job content you capture. Audio recordings and their transcripts, photos, video, notes, readings, equipment identifiers, job numbers, site addresses, customer names and other details that appear in a job, and the report drafts and finished reports made from them.
- Device and usage information. Device model, operating system version, app version, crash reports, and which features are used and when. The app asks for camera and microphone access to record; location is not collected unless you add it to a job.
- AR glasses. If you capture through Ray-Ban Meta AR glasses, the audio and video pass through the Meta AI app under Meta’s terms and privacy policy before they reach Ten-4.
- Website. ten4.works keeps standard server logs (IP address, pages requested, browser type) through our hosting provider. We do not run advertising trackers. Booking a setup call opens Google Calendar, which is governed by Google’s privacy policy.
- Correspondence. Emails you send us, and notes from setup calls.
How we use it
- To provide the service: transcribe recordings, read nameplates and readings from photos, draft reports in your form, flag missing items, and deliver finished reports.
- To run your account and workspace, provide support, and send service emails such as account setup and trial dates.
- To keep the service secure, prevent abuse, and meet legal obligations.
- To improve Ten-4. We may use de-identified data, with names, addresses and other identifiers removed, to improve how drafts are made. We do not use your identifiable job content to train models.
We do not sell personal information and we do not use it for advertising.
AI processing
To make drafts, Ten-4 sends audio, photos and text to AI service providers: Google (Gemini and speech services), OpenAI and Anthropic. These providers process the data to deliver the service to us under agreements that restrict their use of it. Drafts are always reviewed and signed by a person at your company before they are used.
Who we share data with
We share data with service providers that help us run Ten-4, each bound to use it only for that purpose:
- Google Cloud: hosting and storage, in United States regions.
- Google (Gemini and speech services), OpenAI, Anthropic: AI processing of recordings, photos and text.
- Meta: the Meta AI app and services, when you capture through Ray-Ban Meta AR glasses.
- Google Workspace and Google Calendar: email and setup-call booking.
- Cloudflare: hosting and delivery of ten4.works.
We may also share data when the law requires it, to protect the rights and safety of people or of Ten-4, or as part of a merger, acquisition or sale of assets, in which case this policy continues to apply to the data.
Data captured about your customers
Job content often includes information about a contractor’s customers: a name, an address, a voice in the background. The contractor business decides what is recorded and is responsible for telling its customers and crew, and for following recording laws and site rules where it works. Ten-4 processes that content on the business’s instructions, as its service provider.
Retention
We keep your data while your account or your company’s workspace is active, subject to your plan. When you ask us to delete it, or when the workspace closes, we delete it within 30 days and remove it from backups within 90 days. We may keep records we need for invoicing, legal or security reasons, and de-identified data that no longer identifies anyone. See how to request deletion.
Security
Data is encrypted in transit and at rest, access is limited to people who need it to run the service, and we review access regularly. No system is completely secure; if a breach affects your data we will tell you as the law requires.
Your choices and rights
- You can see, correct, export or delete your account information and the job content you own by emailing privacy@ten4.works from your account email.
- If you are a technician in a company workspace, the company administers that workspace and its content. We will route your request to the administrator where that applies.
- You can stop recording at any time and revoke camera and microphone access in iOS Settings. The app will not capture without them.
- California residents have the rights to know, delete, correct and port their personal information, and not to be discriminated against for exercising them. We do not sell or share personal information for cross-context behavioral advertising. Make a request at the email above; we will verify it against your account.
- You may unsubscribe from non-service emails using the link in the email.
Children
Ten-4 is a tool for trade businesses and is not directed at anyone under 18. We do not knowingly collect data from children.
Where data is processed
Ten-4 is operated from the United States and data is stored in United States regions of Google Cloud. If you use Ten-4 from outside the United States, your data is transferred to and processed there.
Changes
When this policy changes, we update the date at the top and, for material changes, email account holders before the change takes effect.
